    Position Purpose Summary:  

    Reports to and supports C-Level Executives and/or Vice Presidents.  Provides a broad range of administrative support activities (including coordinating schedules/calendars, making travel arrangements, maintaining files, preparing various special reports, providing customer service to people within and outside of the department and organization.

    Responsibilities

    • Understands the company’s vision, mission, and strategy; understands business unit objectives and sets/accomplishes individual performance goals accordingly.
    • Manages extremely busy calendar(s) and coordinates complex and frequently changing travel plans and related logistics.
    • Provides support for Board of Directors; provides support to other organization's executives as needed; supports general requests for assistance across the company (finding/providing documents and/or answers and facilitating business relations).
    • Schedules senior-level meetings and answers high volume of telephone calls relaying correct information in a timely manner.  Processes all communication which includes e-mail, faxes, mail and telephone calls.
    • Assists in the preparation of annual budgets; prepares/edits business correspondence and presentations; prepares reports (including expense reports) as required.
    • Prioritizes a variety of time-sensitive tasks and coordinates/manages ad hoc projects while maintaining regular work flow.
    • Assists with and supports multiple and various departmental tasks and responsibilities applicable to the department (i.e., Sales, Human Resources, Supply Chain, Finance, Marketing, Legal, IT, etc).  

    Qualifications

    • Years of experience: 5-7+ years of experience in related area of responsibility preferred5+ years supporting senior level executives.
    • High School Diploma or equivalent required; Advanced degree a plus.
    • Exceptional administrative support skills and basic business acumen.
    • Excellent organizational and prioritization skills; ability to multi-task efficiently, detailed oriented and flexible. 
    • Must display a consistent, professional degree of communication skills in person, on phone, by e-mail and letter; must demonstrate initiative and be willing to follow through on all tasks.
    • Ability to maintain strict confidentiality at all times.
    • Excellent proficiency in Microsoft Outlook, Word, Excel, PowerPoint and other computer software as required.
